IRM Sys Support Spec III

The IT Logistic Specialist supports the DFPS Information Resources Management division by performing IT asset inventory tasks, monitoring IT spare pool thresholds, shipping and receiving computer equipment and submitting IT related purchase requests. This position also prepares monthly reports to capture regional IT activities, routine asset management, inventory reports, and tracking lease\purchases expenditures using Excel as the main tool to perform these activities. This position will track lost stolen devices and maintains current and accurate information in database system. Works closely with regional IT staff on refresh projects, asset inventory and Remedy tickets. The IT Logistics Specialist works with another IT Logistics Specialist and Manager while also maintaining team workload records to ensure availability of Logistics Specialists to support the DFPS state office and regions. The IT Logistics Specialist performs high level IT related logistics support work under general supervision, with moderate latitude for the use of initiative and independent judgment. The IT Logistic Specialist travels within his/her assigned Austin area on a limited basis; travel time is less than 5%.

Essential Job Functions:

Customer Support 40%

* Responds and processes Remedy tickets according to division procedures
* Effectively communicates with State Office IT Logistics, other SO support areas and IT Field Operations customer support staff regarding IT activities.
* Ships equipment replacements and/or accessories to regions within agreed timeframes and according to division procedures.
* Submits IT logistics-related purchase requests.
* Reviews and approves monthly lease invoices.
* Maintains accurate inventory records and reconciles legacy inventory records.
* Completes documentation that is clear, concise and well-written, prepares correspondence and instructions for staff.
* Provides purposeful, outcome oriented technical assistance and consultation to agency staff and a wide array of internal and external stakeholders.
* Works cooperatively with Field Operations IT staff and outsourced vendor technical staff to provide optimum customer service to agency staff.
* Provides back-up support to coworkers.

Asset Management 25%

* Completes and posts accurate master report of regional inventories twice a month, works with regions to reconcile any discrepancies and posts in designated share folder..
* Updates the State Office spare pool inventories for both accessories and computer devices.
* Monitors the spare pool thresholds and place orders timely to avoid shortages in the regions.
* Follows division procedures to report and replace damaged, lost, or stolen agency owned or leased equipment and updates the database for both reported stolen and or recovered assets.
* Provides support during refresh projects in reconciling legacy equipment with regional inventories.
* Tracks and verifies Lease invoices
* Works with SHI on lost\ stolen devices, discrepancies on lease assets and lease schedules.
* Reports any lease schedule discrepancies to IT Logistics Manager.

Support 10%

* Participates in the development and implementation of IT initiatives.
* Offers solutions to maximize efficiencies in implementation of initiatives.
* Reconciles regional inventories against lease schedules, SCCM reports, and employee reports on a quarterly basis.
* Creates ad hoc reports on the various IT projects to monitor and track project progress.
* Provides back-up support to coworkers.
* Performs other duties as assigned in a timely and accurate manner.

Knowledge Skills Abilities:

* Advanced Microsoft Office skills, particularly Excel and MS Word, with strong skills in other MS office products.
* Ability to create and work with complex Excel spreadsheets.
* Ability to use databases.
* Knowledge in asset management.
* Skill in effective verbal and written communication of technical information to technical and non-technical staff and ability to present information to regional and management staff.
* Establish and maintain effective working relationships at all levels of the organization.
* Ability to work independently in a fast-paced environment.
* Ability to plan, prioritize and manage heavy workloads and or projects.
* Ability to take initiative.
* Ability to analyze systems and procedures including developing and revising procedures.
* Ability to work evenings, weekends, either pre-planned or on-call.
* Ability to lift heavy equipment (between 40-60 pounds).

Registration or Licensure Requirements:

NA Initial Selection Criteria:

* Advanced skills using Microsoft Excel and databases.
* Two years full-time experience with Microsoft Office Products, particularly Excel; experience using Access databases is a plus.
* Graduation from high school or equivalent and at least 60 semester hours from an accredited four-year college or university. Education may be substituted with IT work experience on a year for year basis.
* Must be able to work flexible work schedules including weekends and holidays.
* Ability to lift heavy equipment (between 40-60 pounds).
