UW Medicine Human Resources has an outstanding full time, temporary, opportunity for a HR/Payroll Cutover & Go-Live Support Lead. The duration of this position will be from approximately June 2019 through January 2020.

This position is part of a project team supporting two integration efforts within UW Medicine: (1) On January 1, 2020, Northwest Hospital (NWH) and UW Medical Center will become a single hospital with two campuses; and (2) On January 1, 2020, UW Physicians (UWP) staff will become part of the UW School of Medicine. This role's responsibilities, as described below, will be focused on the HR, Payroll, and Labor workstream of these two integrations projects. The Cutover and Go-Live Lead's responsibilities are broken up into two related areas: 1. Cutover - The Lead is responsible for planning, managing, and executing a detailed cutover plan encompassing all of the business and technical activities required to transition employment for NWH and UWP staff. Cutover planning includes both the actual go-live cutover management as well as the mock cutovers leading up to go-live. This role will provide the strategy, approach, checklists and work plans to drive to a successful transition and will develop the detailed cutover checklists. 2. Go-Live Support - This role is responsible for defining the go-live support requirements and process for the HR & Labor workstream and overseeing all aspects of the go-live support including space planning, staffing, technical setup and daily operations.

This position must quickly get up to speed regarding UW, NWH, and UWP. It must master the complex differences between them, what is changing, and what is remaining the same.

UW Medicine has over $4.6B in annual revenue. This position plays a key role in the integration of NWH and UWP which are considered vital steps for the future of UW Medicine.

RESPONSIBILITIES:

GENERAL:

Coordinate project tasks effectively, highlight potential risks, and pull resources together when needed to resolve issues.

CUTOVER PLANNING AND EXECUTION:

Develop the detailed cutover checklist and plan, incorporating both technical and operations or business tasks

Develop and manage schedules for all project tasks required for cutover Coordinate across multiple project workstream on key integration points Provide cutover status reporting to project leadership and key stakeholders

Lead cutover activities for Soft Go-Live, Go-Live, and Post Go-Live activities

Work closely with peer system leads to ensure cutover plans for each application are integrated with the overall cutover plan

Plan and lead mock cutover(s) to validate readiness for the actual event Develop back out / contingency plans for cutover

GO-LIVE PLANNING & OPERATIONS

Work with all the HR & Labor teams to:

Define go-live support requirements for each go-live including timing duration, hours of operation, staffing ratios and type of support required

Determine staffing requirements for go-live support

Ensure that vendors have resources secured to support go-live dates, as necessary

Create and communicate Command Center and floor support staffing schedule

Determine technical requirements for Command Center including phones, PCs and placement Work with the program and other workstream leads to:

Develop issue management process including information to be captured, workflows, escalation process and reporting

Secure space for main Command Center and satellite locations as needed

Work in partnership with Infrastructure PM to develop layout and plan build of Command Center space(s)

Determine requirements for issue ticketing system and determine what system will be used

Participate in Dress Rehearsal events (i.e. - Technical, Workflow, Cutover)

Arrange training for all go-live support staff (Overview of Command center, ticketing system, escalation procedures)

Manage Command Center and floor support staffing schedule to ensure adequate coverage at all times

Conduct daily briefings for Command Center and floor support resources

Facilitate Command Center shift change meetings

Monitor issues and escalate high severity issues and trends to Leadership

Provide daily issues summary to Project Lead

Evaluate issue and call volumes to determine need for continued Command Center and floor support

Facilitate transition of support to Operations

REQUIREMENTS:

Bachelor's degree and 4 to 5 years related experience

Experience planning and leading complex ERP cutover and go-live support events across multiple systems including data conversions, interfaces, and system changes, preferably within the Workday/Kronos, HR & Payroll environment

Experience developing and leading cutover and go-live support plans

Experience with large multi-entity system implementation

Experience working effectively in a matrixed project organization

Strong communication skills-both written and verbal

Understanding of and successful experience with stakeholder management

Experience with project workstream management in conjunction with the management of administrative information system projects

Proficiency in MS Office tools: Word, Excel, PowerPoint, Outlook, Visio

CONDITIONS OF EMPLOYMENT:

The duration of this position is estimated until approximately January 31, 2020.

Position requires some travel around Seattle between the UW campus, NWH, and UWP.
