We have an opening for a Document Management Systems Specialist with in-depth knowledge of data collection management, archival preservation, and media scanning methodologies. You will be instrumental in independently managing the WCI Document Management System's (DMS) metadata standards and initiating, identifying and developing practices and trainings to enable users to find and retrieve needed media. This position is in the Design Physics Division supporting the Nuclear Weapons Information Program within the Weapons Physics and Design Program.
This positions will be filled at either the A07.3 or A07.4 level depending on your qualifications. Additional job responsibilities (outlined below) will be assigned if you are selected at the higher level.
Essential Duties
* Develop, maintain and lead implementation of controlled taxonomies and metadata standards used by WCI DMS
* Develop and maintain user documentation and training materials
* Develop, implement and maintain procedures, methods and tools to manage database and system migrations.Lead implementation activities and monitor the results
* Primary liaison to DMS users across LLNL andmultiple NNSA sites, present and train users on DMS, its searching and tagging capabilities and best practices; meet with users to understand usage patterns and requirements of DMS
* Work with NWIP Lead to analyze and develop system requirements, advise, choose and implement a replacement to DMS software
* Develop and implement metrics and self-assessment processes for DMS and successor systems, conduct analysis, make recommendations and provide resource and budgetary input to management and the DMS project lead
* Researche process or transaction flow to identify root cause of problems and identifiy alternatives, working with management to recommend changes
* Perform other duties as assigned
In addition at the A07.4 level
* Lead, plan, analyze, develop and oversee the implementation of controlled taxonomies and metadata standards used by WCI DMS in support of Laboratory-wide initiatives. Develop long-term project plans and resource estimates, prepare analysis spanning multiple organizations
* Serves as subject matter expert and primary liaison with key external vendors and internal management regarding DMS software, represent the directorate on institutional committees
* Oversee training needs for DMS users across multiple NNSA sites, implement and monitor quality and customer service results. Work with management to establish quality, customer service standards and the operational direction of the WCI DMS system, participating in management reviews
Qualifications
* Bachelor's degree in Computer Information Systems or a related field or equivalent combination of education and related experience
* Experience cataloging print and electronic data materials
* Experience analyzing and implementing processes and leading projects
* In depth knowledge of metadata standards, such as MARC and Dublin Core
* Possess and applies complete knowledge and understanding of integrated library systems and catalogues
* Experience interfacing with customers and users, interpreting their needs and collaborating in the identification of unique solutions
* Experience developing performance measures and analyzing data outcomes for a service area
* Proficient written, verbal, and presentation skills necessary to effectively collaborate in a multi-disciplinary team environment, as well as the ability to work effectively with minimal guidance
Desired Qualifications
* Master's degree in Library Science or a related field field or equivalent combination of education and related experience
In addition at the A07.4 level
* Broad and in-depth knowledge and experience managing system migrations
* Experience with archive, information and documentationdigitization processes, technologies, strategies, and/or long-term data preservation and archival
* Extensive experience interpreting and applying service operations policies and procedures to unique situations
Pre-Employment Drug Test: External applicant(s) selected for this position will be required to pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.
Security Clearance: This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.
Note: This is a Career Indefinite position. Lab employees and external candidates may be considered for this position.
