Document Control Specialist

Overall job objectives

PAE is seeking an experienced and objective Document Control Specialist to ensure document management consistency across all projects. The successful candidate will be responsible for rigorously, maintaining control and traceability of documentation from project initiation throughout completion.

Other Responsibilities:

* Implement and maintain document control processes and procedures.
* Develop and maintain the Document Management System (DMS).
* Manage all flows of documents either in electronic form or on paper support.
* Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving).
* Maintain and manage electronic and hard copy documents as required.
* Process incoming documentation (registration in the DMS, internal distribution, archiving).
* Process outgoing documentation (transmit to Client and Suppliers/3rd parties).
* Makes sure that controlled copies of latest approved documents and drawings are distributed internally and externally (clients and suppliers).
* Ensure control and coordination of projects documentation and data.
* Ensure all drawings/documentation are correctly identified, distributed and filed/stored.
* General document control activities such as photocopying, scanning, analysis of supplier's documents, compliance with Program standards regarding numbering and all other aspects related to document quality.
* Provide assistance in the preparation collation and issue of reports and registers as may be required.
* Communicate and liaise with Project Teams, suppliers/3rd parties to agree on standards, systems, efficient flow of documentation, handover, and close-out of Project activity to ensure consistency in document control as required.
* Monitor technical documents review and approval in accordance with the agreed schedule.
* Monitoring of documentation progress in cooperation with the project planner.
* Ensure the use of standardized forms and templates.
* Set-up Projects folders and facilitate Project communication process.
* Establish and maintain the Master Document Register in cooperation with the Project team.
* Collate, produce and submit Quality Assurance Documentation for Clients.
* Perform other related tasks as may be assigned by the Quality Manager or Program Management.

Minimum Qualifications:

* ISO 9001 familiarization/certification.
* Specific training courses related to Document Management and Quality.
* At least 1-year work experience in a Document Control profession.
* Education - Associate Degree in Arts or Science (at least 3 years of work experience as a Document Controller will be considered in lieu).
* Proven ability to train process owners on document control processes.
* Clerical experience, e.g., filing, uploading documents to share drive.
* Ability to comprehend contract language and compliance to set standards.
* Advanced user MS-Office and Document Management Systems setup (SharePoint).

Work Environment

* The full-time work location for this position is Afghanistan; an austere and hostile environment.
* Minimum work hours are 9 hours a day, 6 days a week. Work may include nights and weekends (Friday) on short notice.
* Able to walk/stand on level or inclined surfaces for prolonged periods per day, sit for prolonged periods per day, and climb/descend stairs or rough terrain.
* Must be willing and able to perform physical activities including but not limited to heavy lifting of up to 40lbs; climbing in and out of equipment; crawling; and working outdoors.
* Able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees, and reach above/below shoulders. Able to communicate by voice and detect sound by ear.
* While performing the duties of this job, the employee may regularly be exposed to extreme and austere desert-like environment - temperatures can reach 49 °C (120 °F) during summer, and as low as -9 °C (15 °F) during winter.
* May be exposed to extreme noise from acts of aggression.
