Summary:

The Documents Controls Analyst has overall responsibilities for management of documentation, for both hard and soft copy documents. The Documents Controls Analyst generally reports to the Senior Program or Project Manager.

Primary Responsibilities:

* Assist with the selection and deployment of the document control application.
* Create a document control folder structure and naming convention standards in support of the program goals.
* Provide oversight, training and support on the proper use of the document control folder structure and naming conventions to document control staff and users.
* Develop procedures for receiving, logging, tracking and distributing documents in paper and electronic format.
* Perform periodic audits of the document control system to ensure policies and procedures are being followed.
* Create and maintain program wide document templates for standard correspondence, transmittals and forms.
* Prepare and distribute document control reports as necessary.
* Prepare and edit project reports, including due diligence, project status, monthly monitoring, project analysis, expense and narrative reports;
* Update and maintain project information in spreadsheets and databases;

Education and/or Experience:

Two to four years of college and/or 4-5 years of experience in managing document control functions in the architectural, engineering or construction related fields.

Technical:

  • Document Control Applications
    * Advanced MS Office skills (Word, Excel and PowerPoint)
    * Knowledge of Adobe Acrobat, Adobe Photoshop, and Visio
    * Knowledge of MS Access and MS Project; knowledge of Primavera a plus
