Status: Full-time, Exempt

Schedule: M-F, 8.30a.m. 4.30p.m Central Time, including occasional evening and weekend work and occasional travel based on seasonal needs/position requirements

Reports to: Executive Vice President for Academic Affairs & Provost

Summary of position:

The Academic Project Specialist is responsible for the planning and execution of academic department's projects based on the priority set by the department's leadership seeking and coordinating various contributions and finalizing project deliverables in order to ensure that our projects are delivered on time and produce the desired results. This position is responsible for coordinating all assigned projects related to academic programs, and completing assigned tasks, including data collection, data analysis, and appropriate research in support of the department's operations. In addition, the position works closely with many stakeholders within and outside the academic department as needed.

Job responsibilities:

* Monitors inventory of projects within the Academic Department and guides their timely completion
* Tracks progress toward accomplishment of the strategic goals of the Department in relationship to organizational strategic plan goals
* Works with stakeholders in the department in order to monitor progress toward cyclical tasks (e.g. pre-departure guides, web page updates, catalog copy, etc.)
* Works closely with academic leaders to support the work of the Curriculum Committee and the Academic Council
* Provides critical support to the Curricular Audit and Transformation initiative
* Tracks implementation of Academic Department strategic plans
* Coordinates logistics related to faculty development projects
* Leads the program implementation, budget, and contract negotiation for the six-week Summer Scholars program for international students in Chicago
* Regularly conducts research and data gathering for the use of EVPAAP
* Develops presentations for EVPAAP
* Responds to requests for data regarding academic statistics or information related to Centers
* Evaluates various processes and recommend improvement in terms of efficiency and effectiveness
* Regularly scans for and recommend IT tools for process improvement and effectiveness
* Creates efficiencies in operations and data management
* Performs any other task or duty as assigned or required

Experience & Qualifications/Skills:

* Minimum of 3 - 5 years of experience in the area of project coordination
* Proven track record in prioritizing heavy workload; demonstrated experience in project coordination, including planning tasks, resource allocation, risk management, time management, monitoring and reporting, documenting and record keeping
* Strong time management skills with proven ability to multitask and to prioritize activities to successfully complete projects on tight deadlines with little supervision
* Exceptional interpersonal communication skills with an emphasis on intercultural competence and ability to maintain positive relationships with various stakeholders required
* Exceptional team player who is also able to work well independently, proactive and responsible with ability to learn rapidly
* Excellent analytical skills and tech savvy, familiarity with databases and project management tools
* Excellent writing and verbal communication skills with ability to present data in a simple and straightforward way for non-technical audiences required
* Strong knowledge of Microsoft Office suite of products (Word, Excel, Outlook, PowerPoint, Mail merges, etc.).
* Prior experience editing publications for print or web
* Knowledge and understanding of Higher Education preferred
* Proficiency in a foreign language offered on one or more IES program preferred

Education:

A minimum of Bachelor's degree or equivalent work experience, Master's degree preferred.
